Question 1

What is SteadySend?

Accepted Answer

SteadySend is an email template management platform that helps teams create, organize, and use pre-approved email templates with smart variables. It eliminates repetitive typing and ensures consistent messaging across your organization.

Question 2

How do I create my first template?

Accepted Answer

After signing up, go to Templates and click "New Template". Give it a title, select a category, and write your template body. Use {{variable_name}} syntax to add dynamic variables that users will fill in when using the template.

Question 3

How do I use a template?

Accepted Answer

Open the Templates page, click "Use" on any template, fill in the variables (and optionally include your email signature), then copy the generated text or HTML to your clipboard. Paste it into your email client or wherever you need it.

Question 4

Can I import existing templates?

Accepted Answer

Yes! You can copy-paste your existing templates into SteadySend when creating or editing a template. For help migrating a large template library, contact support.

Question 5

How do variables work?

Accepted Answer

Variables are placeholders in your templates that users fill in when generating an email. For example, {{customer_name}} would prompt the user to enter the customer's name. You can set default values, help text, and make variables required or optional.

Question 6

What variable types are supported?

Accepted Answer

SteadySend supports text fields, numbers, dropdowns (with predefined options), date pickers, and price (with currency formatting). Each type offers appropriate input validation and formatting. If you need additional variable types, you can submit a feature request via Help & feedback in the app or the Contact page.

Question 7

What are global variables?

Accepted Answer

Global variables are reusable across all templates. For example, you might create a global {{company_name}} variable that auto-fills "Acme Corp" in every template, ensuring consistency.

Question 8

What is the {{email_signature}} variable?

Accepted Answer

The {{email_signature}} placeholder inserts your personal email signature (or the workspace default if you haven't set one). Set your signature in Settings → Your account; workspace admins can set a default in Settings → Workspace. When using a template, you can choose whether to include the signature.

Question 9

Does SteadySend have a free plan?

Accepted Answer

Yes! All plans include a 14-day free trial with full access to all features. No credit card required to start.

Question 10

Can I change my plan later?

Accepted Answer

Absolutely. You can upgrade or downgrade your plan at any time. Upgrades take effect immediately, while downgrades apply at the end of your current billing period.

Question 11

What payment methods do you accept?

Accepted Answer

We accept major credit cards (Visa, Mastercard, American Express) through our payment provider. PayPal and bank transfers may be available for annual plans. Enterprise customers can contact us for invoice billing.

Question 12

Do you offer refunds?

Accepted Answer

We offer a full refund within the first 30 days if you're not satisfied. After 30 days, we provide prorated refunds for annual plans cancelled early.

Question 13

How do I invite team members?

Accepted Answer

Go to Users in the sidebar and click "Invite User". Enter their email and select a role (Admin or User). They'll receive an invitation email to join your workspace.

Question 14

What's the difference between Admin and User roles?

Accepted Answer

Admins can create, edit, and delete templates, manage team members, and access billing. Users can only view templates and use them to generate emails—they cannot modify templates.

Question 15

Can I have multiple workspaces?

Accepted Answer

Currently, each account belongs to one workspace. If you need multiple workspaces (e.g., for different departments), contact us about our Enterprise plan.

Question 16

Is my data secure?

Accepted Answer

Yes. We use industry-standard encryption (TLS in transit, encryption at rest), secure data centers, and follow security best practices. We take the protection of your data seriously.

Question 17

Do you support two-factor authentication?

Accepted Answer

Yes. You can enable two-factor authentication (2FA) in Settings → Security. We use TOTP (e.g. Google Authenticator or similar apps). When you set it up, you'll receive recovery codes—store them safely in case you lose access to your authenticator app.

Question 18

Can I export my data?

Accepted Answer

Yes. Workspace admins can export all templates and global variables from the Templates page (click the Export button) to download a JSON backup. For a full data export or if you're not an admin, contact support.

Question 19

Do you comply with GDPR?

Accepted Answer

Yes. We're fully GDPR compliant. European customer data is stored in EU data centers. You can exercise your rights (access, deletion, portability) by contacting us.
